When you apply for a role through us, submit your resume, or engage with our recruitment
team, we may collect:
- Your name, email address, phone number, and location (city/state).
- Your resume or CV, including work experience, education, skills, certifications, and portfolio links.
- Current and expected compensation details.
- Notice period and availability.
- LinkedIn profile or other professional social media links.
- AI assessment scores, interview recordings, and evaluation reports generated during our screening process.
- Any additional information you choose to share during interviews or communication with our team.
Please note: Some of the information listed above — such as compensation details — may be
classified as sensitive personal data under applicable laws. We handle all such data with
additional care and in accordance with the requirements of the relevant jurisdiction (see the
regional addendums below).
2.2 From Clients (Hiring Organizations)
When you engage us for recruitment services, we may collect:
- Company name, registered address, and tax/registration identifiers applicable to your jurisdiction (e.g., GST/PAN in India, Trade License in the UAE, EIN/Tax ID in the USA) for invoicing.
- Contact person’s name, designation, email, and phone number.
- Job descriptions, hiring requirements, compensation structures, and team details relevant to the search.
2.3 From Website Visitors
When you visit our website, we automatically collect:

3.1 Candidate Data
- To match you with relevant job opportunities based on your skills, experience, and preferences.
- To submit your profile to hiring organizations for roles that match your qualifications. By submitting your resume or profile to Sharc Hire — whether through our website, job portals, email, or any other channel — you acknowledge and consent that your information will be shared with client organizations that have relevant open positions. As a recruitment agency, the core purpose of our service is to connect candidates with hiring companies, and sharing candidate profiles with clients is an integral part of this service.

- To conduct AI-driven screening and shortlisting to improve the speed and quality of matching.
- To maintain our talent database for future opportunities that may suit your profile.
3.2 Client Data

4. How We Share Your Information

- With Hiring Clients: When you are a candidate, we share your profile (resume, contact details, relevant qualifications, assessment reports) with client organizations that have open positions matching your qualifications. By submitting your profile to Sharc Hire, you consent to this sharing as described in Section 3.1 above. We share your information only with clients who have active, relevant hiring requirements.
- With Service Providers: We use trusted third-party tools for email communication, CRM, cloud storage, and analytics. These providers process data on our behalf and are contractually required to keep it secure and use it only for the purposes we specify.
- For Legal Reasons: We may disclose information if required by law, court order, or government authority. Where permitted, we will make reasonable efforts to notify the affected individual.
- Business Transfers: If Sharc Hire is involved in a merger, acquisition, or sale of assets, your information may be transferred to the successor entity. We will notify you of any such change.
We do not share your personal information with any third party for their own marketing or

5. How We Protect Your Information

5.1 Cross-Border Data Transfer
Sharc Hire is headquartered in India. If you are a candidate or client based in the UAE, USA, or
any other country outside India, your personal data may be transferred to and processed in
India, where our primary operations and data storage infrastructure are located. By engaging
with Sharc Hire’s services, you acknowledge and consent to this cross-border transfer. We
ensure that all transferred data is protected in accordance with this Privacy Policy and that our
service providers are contractually bound to maintain equivalent standards of data protection.
6. How Long We Keep Your Data
We retain your information only for as long as it is needed for the purposes described in this
policy, or as required by law. Our general retention periods are:
- Candidate Data: We retain your profile in our talent database for up to 3 years from the last interaction, so we can reach out when relevant opportunities arise. After this period, we either delete or anonymize your data unless you ask us to keep it longer. Candidates in certain regions may be subject to shorter retention periods — please see the regional addendums below.
- Client Data: We retain client information for the duration of our business relationship and up to 7 years after the last engagement for tax and financial record-keeping.
- Website Data: Analytics and usage data is retained for up to 24 months, after which it is anonymized or deleted.
- Communication Records: Emails and messages exchanged during the recruitment process are retained for up to 2 years for reference and quality purposes.
You can request deletion of your data at any time by emailing us (see Section 8).
7. AI in Our Recruitment Process
Sharc Hire uses AI-driven tools to assist with candidate screening and matching. Here’s how it
works and what you should know:
- Our AI tools analyze resumes, skill profiles, and job requirements to shortlist candidates who are the best fit for a given role.
- AI is used to assist our recruiters, not to replace them. Every shortlist and recommendation is reviewed by a human recruiter before any candidate profile is shared with a client.
- We do not use AI to make final hiring decisions. The hiring decision is always made by the client organization.
- Our AI screening does not evaluate candidates based on gender, religion, caste, race, nationality, ethnic origin, age, marital status, disability, or any other protected characteristic.
- If you have concerns about how AI was used in your screening, or if you wish to request a human review of any AI-assisted assessment, you may contact us for clarification.
8. Your Rights and Choices
You have control over your personal information. Regardless of where you are located, you
may:
- Access your data: Ask us what information we hold about you.
- Update your data: Request corrections to any inaccurate or outdated information.
- Delete your data: Request that we remove your information from our systems. Note that some data may need to be retained for legal or financial reasons.
- Withdraw consent: Withdraw your consent to data processing at any time. This will not affect the lawfulness of processing carried out before withdrawal.
- Withdraw from our database: Ask us to stop considering you for future opportunities.

This addendum applies to candidates, clients, and website visitors located in India.
Sensitive Personal Data

Addendum B: Additional Information for UAE
Residents
This addendum applies to candidates, clients, and website visitors located in the United Arab
Emirates.
Your Rights (UAE-Specific)
In addition to the rights listed in Section 8 above, UAE residents may also:
- Request a copy of your personal data in a structured, commonly used format (data portability).
- Object to the processing of your personal data in certain circumstances.
- Request that decisions about you are not made solely by automated processing where those decisions significantly affect you.

For candidates based in the UAE, we retain data only as long as necessary for the purpose for
which it was collected. For placed candidates, we retain data for the duration of the placement
guarantee period plus 1 year. For unplaced candidates, we retain data for up to 2 years from the
last interaction, after which it is anonymized or deleted unless you explicitly consent to longer
retention.
Cross-Border Transfers (UAE)
Your data may be transferred to and processed in India. We ensure that such transfers are
supported by appropriate contractual safeguards requiring our service providers and processing
partners to maintain standards of data protection equivalent to those in the UAE.
Addendum C: Additional Information for US Residents
This addendum applies to candidates, clients, and website visitors located in the United States,
with particular attention to California residents.
Your Rights (USA-Specific)
In addition to the rights listed in Section 8 above, US residents (particularly California residents)
